SAP - Heart of a procurer
I used it when we were trying to onboard KRAHEJA - A luxury real estate brand of Mumbai wherein the complete sales cycle was done on SAP.
The moment we raised the PI, it was added by the customer admin and after filling necessary details, the corresponding PO was raised.
Similarly, the invoice details were filled by our finance wherein we uploaded all the bank and GST details and basis on a 3-step hierarchy, we were given approvals after the due dilligence.
This made the complete process transparent for us and automated for the customer and real-time updates were recorded.
From procurement, sales and finance stand point, SAP solves the problem very efficiently leaving a WOW element for all.

SAP ARIBA PROCUREMENT PROVES TO BE A BOON OF OUR BUSINESS.
All communications are made within SAP Ariba Procurement and also the tracking and expediting is done through this software.
Further, Cost control and tracking is easier and systematic.
The amount of time and resources saved is huge. Cycle times are reduced and th ewhole history of a procurement is available at press of a button.
I can easily say SAP Ariba Procurement has led to saving in Time and Cost.
- Entire Purchase Process is managed at a single location.
- Direct B2B connections and vendor base buildup is possible.
- Cost Monitoring and control in a logical, scientific way.
- Creates a huge database of procurement across the company which can be used for future procurement to achieve getting the best price through deft negotiations based on a database.
- Sometimes the system is slow. Cant say whether due to software or the system we use.
- Dashboards could be improved and made more easily customisable.
- Direct linking of Project Procurement Schedule with the Procurement Cycle of SAP Ariba will be a big step forward.
It is possible to maintain complete history of the procurement cycle and records inputs from all stakeholders- internal and external.
It automatically creates a to do function on the system of the person at whose desk any issue remains unresolved.

The SAP Ariba Harmonization
- Commerce automation will expedite delivery of compliant purchase orders, eliminate invoice errors, speed approvals and improve on-time payment performance therefore increasing cash earnings and optimize working capital.
- Supply Chain Collaboration is expected to transform our Supply Chain from a disconnected to a collaborative digitally connected supply chain network, providing greater flexibility and visibility to reduce inventory buffers thereby increasing service levels and on-time shipments. This integration with suppliers will enable better planning and real-time execution despite the dispersed nature of geographic locations and systems used by suppliers.
- Buying - Automation, remodelling and optimization of all or key aspects of the Procure to pay process.
- Our biggest challenge is around the number business processes available and the mismatch it has when integrating with ECC 6. There needs to be a trigger mechanism to ensure that we are able to activate other features like budget checks etc on the fly
SAP Ariba... Better should be the best!
- Ariba Catalogues are excellent. The Supplier maintains the catalogues and buyer can directly use it. That really speeds up the procurement process.
- Collaborative approach on Ariba Network gives integrated & seamless supply chain approach.
- Procurement & its integration with financial supply chain houses makes it easy for the supplier to maintain the cash flow.
- Minimal errors on incoming invoices because of tight integration with Supplier.
- Supplier onboarding is very easy & fast as all the required training is already available based on supplier account type.
- First, I do not digest the concept of two cloud systems. SAP, on one hand, is selling S/4HANA as a cloud product and asking to buy Ariba products to integrate with suppliers in Cloud. Ideally, ERP in Cloud should have native integration with E-Commerce networks. It should work as I am emailing from Gmail to Hotmail or sharing from WhatsApp to Facebook.
- Ariba Procurement & its integration with ERP are still not so easy. SAP ECC looks very strong and robust in front of SAP Ariba Procurement. The integration is very limited and does not allow [us] to use all the functionalities from ECC. (Some examples: Serial Number Management, Manufacturer's Part Number, Integration with Quality Management is also very limited.
- The degradation of Ariba Productive system affects heavily on day-to-day business.
- The integration of Ariba Procurement to ERP is not redundant. I am still not comfortable that the Purchase Order created in Ariba is created again in ECC system as a reference document. This does not seem to be a seamless integration. The PO created in Ariba should make GR in ECC directly. This is my expectation when we say seamless integrations

- It has improved our procurement and supply chain management process allowing us to serve our clients better.

- It's web based and when the internet connection is poor its usage becomes distracted.
- Some of our less tech-savvy users had a steep learning curve in understanding how to use the platform efficiently.

I find it ideal for conducting RFPs, where suppliers can go in and upload all of their work. It is very easy to then analyze and go through the various documentation as it is all stored in one place. The fact that suppliers can go in and have access to Ariba definitely helps and makes things more efficient and fluid for our team.
Positive and negative aspects of working with SAP Ariba - and why we would still do it all over again
- Integration with SAP for RfX and updates of Info Record prices (Product Sourcing).
- Integration of catalogues (Buying) and contract terms (Sourcing & Contracts) to facilitate the end user experience.
- Flexibility to adjust tasks in Sourcing & Contracts projects.
- Integration with DocuSign for digital signatures.
- Better integration across modules: risk module is not useful because it's not integrated with SLP.
- Supplier Performance Evaluation features need better automation for larger organizations.
- Sourcing & Contracting module needs update so it becomes as user friendly as Buying.

- SAP Ariba Procurement is not fit to be used for direct purchasing PO document transactions.
As part of this exercise, based on customer's requirement, we do compare various products and provide our suggestions to the customer. There are lots of end customers implementation that we have done for sourcing and Contract Management from Ariba. Any company who is dealing with Vendors and supplier/Buyer would require Contract Management System in place to define the payment terms, legal documents, workflow, and other mutual agreements. And I found Ariba Contract Management solves this need very well.
- SAP Ariba has Ariba Supply Chain Network that makes Suppliers/Vendors/Buyers onboarding very easy. Ariba Contract Management is very well integrated with Ariba network and hence sharing contractual documents and information are very easy.
- SAP Ariba provide integration with SAP ERP which takes out the effort needed to integrate Ariba with SAP.
- Ariba exposes API and ITK to do integration if your ERP is none SAP.
- SAP Ariba Contract Management is the comprehensive solution that has most of the needed functionalities. One thing I would like to add a word of advice that evaluate and discuss all details as per your requirement before you make purchasing decision. Ariba, in general, is not customization friendly and there can be the limitation to the customization you may require as per your requirements.
- Migration from Ariba to any other tool may not be easy, say after 2-3 years you realize that Ariba is not able to handle all requirements as per your need.
What you should know about Ariba Software
- Cost Reduction: Definitely this goes well as you are able to get different suppliers with different pricing and you can now select what pricing best suits your present needs.
- Supplier management: Different suppliers can be easily manage from one tool.
- Suppliers enjoy visibility of the recruitment bidding process. One can also save the time to respond to online emails by using the platform to communicate with clients.
- The system we use is not user friendly, you need a detailed tutorial to understand the processes better.
- Once the network is not so great, it can take a while trying to upload a document to the cloud.
